Fees & Payment Policy

Last updated: June 2025

At Phoenix Mental Health Services, we believe in being transparent and fair about all aspects of your care — including how we handle fees, cancellations, and insurance.

We understand that private healthcare can feel confusing at times, so we aim to make things as simple and stress-free as possible. Our team is always happy to answer any questions you have about pricing or payment.

When you become a patient, you’ll receive our full Consent and Fees Policy to review and sign before your appointment. Below is a summary of the key points.

Payment for Appointments

All appointments must be paid for in advance, unless they are being billed directly to a recognised insurer. This secures your appointment and ensures things run smoothly on the day.

Changing or Cancelling an Appointment

We know that plans can change.

  • You can reschedule your appointment free of charge any time up until midnight, three working days before your appointment, or before making payment — whichever comes first.
  • If you need to cancel an appointment, we ask for at least one full working day’s notice.
  • If you miss an appointment without letting us know, we may charge the full fee.

This helps us use our clinicians' time effectively and offer availability to others

Using Private Medical Insurance

We work with a number of major insurers and are happy to support you in using your policy. However, we are required to follow strict guidelines.

To use your insurance:

  • Please provide your insurer name, policy number, and a valid authorisation code in advance.

If your policy does not cover your appointment (due to excess, expired policy, or rejection), you will be personally responsible for the payment. We’ll always do our best to guide you through this process and keep you informed.

When You Join Us

Once you’re booked in, we’ll send you a Consent Form to sign before your appointment. This will include a full copy of our Consent and Fees Policy, outlining in detail how we manage payment, cancellations, insurance, data protection, and your rights as a patient.

We encourage you to review it carefully and ask us any questions — we’re here to help.
